Please carefully review the terms and conditions of the agreement before booking your Expedition, Trekking, or Travel Trip with Summit Force Pvt Ltd. This agreement contains important information regarding booking confirmation procedures, payment and refund systems, cancellation policies, and other charges according to our company's policy. The Booking Terms and Conditions constitute a legally binding contract between you and Summit Force Pvt Ltd for the services provided.
Booking and Payment Conditions:
- To ensure maximum safety and satisfaction of our clients, we require a three-month planning time.
- A 30% advance payment is required for booking confirmation.
- A payment of 40% must be made at least 30 days before the starting date of the Expedition.
- The remaining balance of 30% must be paid upon arrival in Kathmandu before the Expedition's starting date.
- At the time of booking, we will need a scanned copy of your passport and a JPEG format passport-size photo suitable for printing, which we will use to obtain all necessary permits and Entry cards before your arrival in Kathmandu.
- We accept card payments, but an additional 4% of the total amount will be charged by the bank as a surcharge.
- Failure to make timely payments relieves Summit Force of the obligation to provide services as per the booking agreement.
- Last-minute bookings may be accepted 15 days before the tour/trip departure date, but full payment is then required.
- Last-minute bookings for Nepal trips may also be accepted with 100% payment.
Amendments:
If you wish to make changes to your arrangements, please notify The Summit Force in writing at least two weeks before your scheduled departure. Any issued government permits, flight tickets, or insurance that cannot be cancelled or refunded will incur related costs for which you will be responsible. You may also be liable for the cancellation of airfares purchased on your behalf.
Cancellation Policy:
Cancellation Clauses for Expedition and Peak Climbing:
- If cancelled before 40 days, 15% of the full payment will be deducted and 85% will be refunded.
- If cancelled before 20 days, 50% of the full payment will be refunded and 50% will be deducted.
- If cancelled before 7 days of the expedition start date, 20% of the full payment will be refunded and 80% will be deducted.
- No refunds will be given after the departure of the Expedition.
- In case of natural calamities, disasters, or personal health problems after the expedition starts, the same conditions will apply.
Cancellation Clauses for Trekking/Hiking:
- If cancelled before 40 days, 15% of the full payment will be deducted and 85% will be adjusted on your next trip or refunded after deducting the processing charge of Nepal Rastra Bank.
- If cancelled before 20 days, 50% of the full payment will be refunded and 50% will be adjusted on your next trip or refunded after deducting the processing charge of Nepal Rastra Bank.
- If cancelled before 7 days of the Expedition start date, 20% of the full payment will be refunded and 80% will be deducted.
- No refunds will be given after the departure of the Trekking/Hiking.
- In case of natural calamities, disasters, or a member's personal health problem after the expedition starts, the same conditions will apply.
Cancellation due to the least number of climbers/clients:
Summit Force Pvt Ltd reserves the right to cancel the mountaineering expedition before departure if there are too few people booked for climbing. In such a case, you will receive a full refund of the expedition price. Please note that you will not be entitled to any additional compensation for any injury, loss, expense, or damage resulting from such cancellation.
Health and Fitness Requirements:
Good health and physical fitness are required to participate in our adventures. Therefore, we strongly advise all clients to follow our pre-departure fitness recommendations or seek professional fitness instruction. If you have severe health conditions, we advise against participation. Evacuation can be expensive and difficult, and medical expenses will be your responsibility.
Travel Insurance:
It is a condition while booking Expedition and Trekking that all climbers and trekkers must have insurance covering various contingencies. You must ensure your insurance policy covers all activities in the Mountains/Himalayas and arrange it in your own country.
Children:
All travelers under 16 must be accompanied by a legal guardian.
Publicity of image and videos:
By joining our trip, you agree that any images or videos taken by you during the trip may be used by The Summit Force for publicity and promotion purposes without any compensation to you.
Complaints:
If you have any complaints about the trip/tour, please inform the tour leader or guide promptly.
Unforseen Circumstances:
If The Summit Force needs to cancel your trip due to unforeseen circumstances, we will provide alternative options or a full refund.
Privacy:
Personal information collected will be kept securely and not disclosed for any other purpose.
Client Responsibility:
During your trip, your guide will represent The Summit Force fully. Any unlawful acts will result in termination of the trip with no refund.
Proof of Citizenship or Information Required to Travel:
It is your responsibility to obtain proper identification or proof of citizenship as required. Failure to provide required documentation will result in denied boarding or entry without refund.
Authority:
This agreement and the rights and obligations of the parties will be governed by the laws of Nepal and the Nepal Tourism Association.
